How to Put a GodTube or YouTube Video in PowerPoint or Open Office Impress

(OR How to put a flash video in your presentation program so you can show it on your projector.)

Overview

Opportunity: There are many excellent video clip resources on the internet that would make excellent church service presentations.  

Situation: Many churches use programs like PowerPoint or Open Office Impress to manage their music lyrics for services.  The sound booth computer often has a dual head video card on the back of the computer where one port goes to the sound booth monitor and the other port goes to the projector.  The sound booth computer is often setup with the setting of "extended desktop" for the projector (#2 monitor).  With "extended desktop", the main operating system program (Windows) displays on the sound booth monitor (#1 monitor) and the items that are dragged off screen will show up on the projector (#2 monitor).  Also, programs like PowerPoint are designed to show the slides on the projector (#2) while seeing the thumbnails and the main program on the sound booth monitor (#1) to manage what the audience will see.  

Typical Challenges: Full screen videos show up on wrong monitor!  Using a different program to show videos on your projector rather than the program you use for your music can pose some challenges.  To keep from having to change the display settings to "clone" just to play the video, the program playing the video must be dragged off the sound booth monitor to display on the projector.  The video window cannot be dragged if it is maximized, so most sound booth people will restore down (make window smaller) the desired program window so it can be dragged off screen (to the projector).  Even though the window has been restored down, it can be resized to be almost as big as a maximized (full screen video).

The main problem with showing videos on your projector from internet resources like GodTube is the video window size is either small or full screen.  If the full screen option is selected, it may show on the sound booth monitor (#1) instead of the projector (#2).  Full screen cannot be dragged back to the projector.  

Bad Solution:  The computer display settings can be changed to "clone" instead of "extended desktop".  The "clone" setting is usually accomplished by un-checking the "extend to Windows Desktop" on the #2 monitor settings.  Clone will duplicate whatever is on the sound booth monitor and put on the projector.  Most computer's require a reboot to make this change.  This often means people will see the computer reboot information on the projector because the projector needs to be on for Windows to detect it.  This means there needs to be enough time to reboot after worship before the video is played.  This means people will see the sound booth person setting up the video.  This means there will be a huge distraction to people behind the pastor when he is trying to communicate important things.  This means there is a risk the computer display settings will not be changed back to work for PowerPoint or Impress the next time it is needed.  Some dual headed video cards have complicated software that is different than Windows to change the settings.  

Good Solution: Play the video file within PowerPoint or Impress.  Using the same program and structure you use for managing your announcements and music lyrics makes the most sense!  Most of today's video files are flash movies (YouTube, GodTube, Websites, etc.)  Usually the video file locations are often encrypted (i.e. "viewkey=cc66c536619f3cda36b3") so they cannot be located to save to your computer.  Using the following steps will allow you to play the video in PowerPoint or Impress.  Always keep in mind there are copyright issues with many videos.  Many Christian videos may allow a church presentation, but research (finding the author's website) to see what they allow.

Steps Overview:

  1. Make sure you have a flash player installed on your computer.

  2. Make sure you have the necessary shockwave flash plugins for the presentation program you use. 

  3. Save the video file to your computer.

  4. Insert the video file into a slide on your presentation.

General Prerequisites to Play Flash Movies in a Presentation Program:  

  1. A faster, bigger computer is usually needed so videos are not choppy.  Most new computers should be sufficient, but video card size, RAM, front side BUS, and processors vary. 

  2. Download the most recent Flash Player to your computer.  Many computers already have it installed.  Either use this link or go to www.flash.com to download the most recent Flash Player.

  3. Make sure you have any necessary shockwave flash plugins installed for your presentation program.  Most newer presentation programs already have the plugin (i.e. PowerPoint 2003, 2007).

Securing Video File

Option A- Using Firefox To Locate/Save File:  (Download Firefox as a 2nd browser option at www.firefox.com. Only takes a few minutes.)

  1. Use Tools/Clear Private Data/check Cache and click "Clear Private Data Now (to make it easier to find file)

  2. Go to the site that has video and play the full video (you may want to play full screen in case the website uses a bigger higher quality file for full screen)

  3. After playing video, type in about:cache in the browser address box and click Go or press Enter on your keyboard.

  4. Click the lower "List Cache Entires" link in the "Disk cache device" section.

  5. Scroll down, looking at links until you find a .swf or .flv link that is a larger file (i.e. over 5,000,000 bytes).  There will usually be a .swf link for the player that is NOT the video file! (i.e.  Do not use http://godtube.com/flvplayer.swf 106,017 bytes.)

  6. Click the video link to open the information page for this file.

  7. Right-click the video link at the top and Save Link As.  After the Save Link As window opens, rename the video to something you will remember, but leave the .flv or .swf on the end! Choose the location where you want to save it in the Save In box at the top.  You normally will want the flash file in the same drive/folder where your presentation file will be saved.  It may take several minutes to download the file.

Option B- Using the Free Youtube Download Program to Save Video File:

  1. Download and install the Free YouTube Download program from www.dvdvideosoft.com (it does not work for GodTube or other sites)

  2. Run program (DVDVideoSoft Free Studio icon on Desktop or under Programs)

  3. Choose Download YouTube Video, then click Continue on next window.

  4. Paste in movie location in top box (i.e. http://youtube.com/watch?v=xGCxbhGaVfE

  5. Change file format to FLV Video (flash) or use AVI Video if your presentation program supports it.

  6. Change location to save (if necessary) and click Download.  It will take several minutes to complete.  It will notify you when Process Complete.  Click OK.  Close other two windows.

Presentation Program Instructions  

PowerPoint 2003 (do not need instructions after 1st or 2nd time)

  1. In Normal view, have the slide you want the video to play on the screen (normally want a black slide background)

  2. Click View/ToolsBars/Visual Basic

  3. Click the Control Toolbar (wrench/hammer) in the Visual Basic toolbar.  

  4. Click the More Controls button (wrench/hammer) in the Control Toolbox and a drop down menu appears with dozens of options.  Scroll down and click the Shockwave Flash Object.

  5. Draw a box for the approximate size of the video on the slide. 

  6. Right-click the box you drew (has a big X) and click Properties.

  7. Click directly on the word "Custom" at the top of the pane that opens and then click the 3 dots next to it.

  8. Paste the full address of the file location. (Usually you can right-click the movie filename in Documents or Shared and click Properties to highlight/copy location.  Then just add \filename.flv  to the end.)

  9. On the same window, check all boxes except Font, then click Apply/OK, then close Properties window.  You can close the other two toolbars as well.

 

PowerPoint 2007 (do not need instructions after 1st or 2nd time)

  1. In Normal view, have the slide you want the video to play on the screen (normally want a black slide background)

  2. Click the Microsoft Office Button Button image , and then click PowerPoint Options.

  3. Click Popular, and then under Top options for working with PowerPoint, select the Show Developer tab in the Ribbon check box, and then click OK.

  4. On the Developer tab, in the Controls group, click More Controls button (wrench and hammer).

  5. In the list of controls, click Shockwave Flash Object, click OK.

  6. Draw a box for the approximate size of the video on the slide. 

  7. Right-click the box you drew (has a big X) and click Properties.

  8. On the Alphabetic tab, click the Movie property.

  9. In the value column (the blank cell next to Movie), type the full drive path, including the file name.  You can also paste the full address of the file location by right-clicking the movie filename in Documents or Shared and click Properties to highlight/copy location, then just add \filename.flv  to the end.  (You can also use a URL and play file from internet.)

  10. To set specific options for how the animation plays, do the following, and then close the Properties dialog box:  Normally leave playing set to False so it takes a click to start. Normally set the Loop to False.  If the Flash file has a Start/Rewind control built into it, you can set the Playing property to False.
